Keeping bluepark webspace down with Email forwarding?

    Hi,

I'm relatively new to this, so apologies if this is a schoolboy mistake.

I'm on the 'Retail Park' package from Bluepark, and I'm struggling to keep my webspace down to the (extremely measly!!?) 200mb allocation.

I know I could have all my product image files on another server, but having got all this set up it would be a pain to change all the links.

I'd like to change the way my email works, so they're all forwarded to another account and not taking up space in the Bluepark system.

    1. Is this possible and easy?
    2. Will the forwarded emails then be auto deleted and not take up space on BP?
    3. Can I then reply to customer emails from the new account and it show that they came from my main website email address?

Many thanks in advance for your help.

You just need to use an e-mail client on your desktop like outlook, express, mail, thunderbird etc to retrieve your e-mails from the server and delete on download. If you go into site-->e-mail accounts and click on your e-mail account Bluepark will give you the settings you need to use in the e-mail client.

Obviously you can also reply to and send e-mails direct from your desktop e-mail client.

Also you can use the same settings for a smartphone such as a blackberry or iPhone to send and retrieve e-mails.

    Hope this helps.
    Regards,

    Dave

      Dave,

Thanks very much for your quick reply.

Though I'm still having problems with email storage space. I am using Outlook 2010, which may be part of the problem?
I google'd something like "outlook 2010 delete files server" and it seems that this version of outlook doesn't actually have the function to auto delete emails from the server on download.
I have started to delete most inbox emails, or archive them in a folder on my PC, and to regularly purge the deleted box (which I think removes them from the server?)

But when I log in to BP, it still says I have 140mb of emails clogging thing up.
I also use my phone to access emails, and sometimes the webmail system.

Is there any way I can see what emails are on the server taking up all this space, and delete some?

Is it odd at all that BP only gives 200mb of space? When free services like hotmail give a gig or more?

      Thanks again

Bluepark is ecommerce software developer, our focus is the website platform we develop. Our email services are provided alongside the website hosting as an added convenience, for this reason they are generic email services. That said, when used with a PC-based email client which routinely downloads the emails and removes them from the server, the email service runs reliably and efficiently.

I expect your problem with Outlook 2010 is based on whether you're using POP3 or IMAP to access your emails. POP3 has the standard setting to remove emails from the server:

If you're using IMAP, which basically displays on your PC what is stored on the server, then you'll need to move your emails into an offline (local) folder from the server folder.

Our web space quotas are scaled to fit the product limits in their respective packages, and in that regard they are appropriately sized. Our packages are not designed to store large amounts of email. If you require such services, we can change your domain's MX records so that you can use a 3rd party email host.

Hotmail is owned by Microsoft, is one of the largest email providers in the world, and operates a completely different business model.

As above we also use Google Apps for mail. We manage our own DNS and just forward the www A record to Bluepark servers. I think most ecommerce providers don't actually offer a mail service at all and with Bluepark it's just a convenience think really.

Superb, thanks for all your help.

I have deleted my outlook 2010 IMAP account, and re-instated it as a POP3 account.

In the account settings, I have specified that emails should be left on the server for 3 days (to give them a chance to be sent to my phone as well as PC), and to be deleted from the service when I clear the deleted folder.

So my last questions (I hope) is; how do I access all the emails still stored on the BP server, and delete them?

Change the setting for 3 days to 0 days and pull everything off the server as it stands at the minute onto your PC then re-set it back to 3 days. Once on your PC delete the emails you dont want.

Magic, that sounds like a fine plan. Why didn't I think of that!

                    Thanks a lot

Which is your "master" computer? Your PC or your Mobile?

I don't know how you set up your Mobile to receive emails but if you had a PC and a laptop and your PC was your "master" computer for emails i.e. all emails should be downloaded onto your PC, your PC settings in Outlook should have the "leave a copy of the email on the server" UNTICKED but on the laptop (that is just having copies of the emails) this setting should be TICKED. So, the laptop can receive emails but then afterwards the emails can be downloaded (and removed from the server) to your PC.

The settings "remove from server after x days" and "remove from server when deleted from the 'deleted items' " are irrelevant on both the PC and the laptop and should be UNTICKED.

                        1. This will not delete them from the server. Downloading them from the server (and not having the option to "leave on server" ticked) will free up the space on the server.

                        2. To automatically delete them from the "deleted box" in Outlook when you close down Outlook, you want "Tools / Options / Other" and then "General / TICK 'Empty The Deleted Items Folder Upon Exiting' ". It will prompt you each time to ask if you are sure on exiting.

Right, it seems I'm getting somewhere but not quite there yet.

I only really use email on my PC and phone. Occasionally using webmail.

On my PC I'm now set up with POP3, and have the box 'Leave copy of email on server' unticked. On my phone I have the equivalent of this box ticked, as I really need all messages to be on my PC.

But after making all these changes yesterday, I still have an email storage of 147mb on BP, and can't see a way to just delete everything off the server.
Do I need to delete the account, and re-instate it do you think? Is there any other way?

OK it now looks like you have your settings set up correctly on both devices.

Where you say you have 147mb of emails still on BP, is this for an account that you have set up in Outlook on yor PC? If so, can't you just log into Outlook and click "send/receive" and it should bring all those emails down to your PC? Usually Outlook does a "send/receive" on all accounts when you first log in.

If those emails (147mb) are against an account that you haven't got set up in Outlook, then you need to do so or if you don't want that account any more, simply delete the account in BP (important - dont delete the account if you are unsure).

Failing that, you can use webmail to go onto the server and delete the emails that way but I'm a little confused why if the account is set up in Outlook, they are not being downloaded to your PC.

One more thing, in Outlook go into 'Tools / Options / Mail Setup' click on the 'Send/Receive' button and on the next screen in 'Settings for Group All Accounts" change the frequency of "schedule an automatic send/receive every x minutes" to "1" minute. Don't worry about the "offline" settings.

If you still can't get rid of this 147mb of emails, contact Richard.
